The opportunity

As an HR Operations Specialist, you will be responsible for the full employee lifecycle, including hires, terminations and employment changes. You will ensure timely and accurate P/S ERGANI submissions and compliance with Greek labor legislation. You will also monitor regulatory updates and work closely with Payroll to support accurate processing and employee data integrity.

Your key responsibilities

Employee Lifecycle Administration

  • Manage end‑to‑end hire and termination processes, including documentation, contract preparation/updates, onboarding/offboarding paperwork, and exit checklists.
  • Maintain accurate and complete employee records in HRMS and personnel files, ensuring compliance and audit readiness.
  • Prepare documentation for parental and student leave, calculate/recalculate prior work experience and manage matters related to Temporary Employment Agencies.
  • Handle SEPENET submissions regarding permissions to work on a Sunday and work accidents.

P/S ERGANI (Π/Σ ΕΡΓΑΝΗ) Compliance

  • Monitor regulatory updates and adjust internal processes to ensure ongoing compliance.
  • Prepare, submit and archive all mandatory P/S ERGANI filings for hires, terminations, schedule changes and employment modifications within statutory deadlines.
  • Execute the P/S ERGANI Retrospective Statement of Working Hours and Overtime (Απολογιστική Δήλωση Ωραρίων και Υπερωριών) with accurate and timely submissions.

Policy, Process, and Controls

  • Ensure adherence to Greek labor legislation, internal HR policies, GDPR requirements, and audit standards.
  • Support internal and external audits with complete and accurate documentation.

Stakeholder Collaboration & Service

  • Collaborate with HRBPs, Payroll, and Line Managers on operational HR matters.
  • Act as a Subject Matter Expert for employee inquiries related to contracts, changes, payroll topics and P/S ERGANI submissions.
  • Provide clear status updates and metrics to stakeholders. 

Who we are looking for

  • BSc degree in Business Administration, Human Resources, Economics, or related field. MSc degree in Human Resources will be considered a plus.
  • 3–5+ years of HR Operations/HR Administration experience in Greece, including hires, terminations, and employment changes.
  • Previous experience using P/S ERGANI for statutory filings, compliance, monitoring and implementation of regulatory changes.
  • Basic knowledge of Greek payroll processes (inputs, controls, timelines, statutory requirements).
  • Working knowledge of Greek labor legislation and GDPR principles related to HR data.
  • Hands‑on experience with HRMS systems (e.g., SAP SuccessFactors) and payroll systems/interfaces (e.g., Scan HRMS).
  • Strong proficiency in Microsoft 365 (Excel, SharePoint, Teams, Outlook).
  • Fluency in Greek and English (written and verbal).
