Your new work environment
As Executive Assistant, you will work primarily with and report to the two senior executive leaders at Ahold Delhaize Europe & Indonesia. Tasks are performed in a highly demanding and international environment which requires a full-time, energetic, flexible, professional, discrete and service-oriented assistant with excellent English language skills, who is also a real team player. You will be based at Ahold Delhaize’s Headquarters in Zaandam. You will be given the freedom and responsibility to take ownership of your work and broaden your horizons by working together with knowledgeable colleagues from different countries who have an abundance of expertise in many areas. We will continually invest in you and help you build on your talents and skills for the future.
Key responsibilities of your roleÂ
Your role is highly diverse and encompasses various responsibilities.Â
Here are the key ones:Â
- Manage complex calendars, scheduling internal and external meetings, appointments and travel arrangements across multiple time zones.
- Acts as a first point of contact for questions from employees and external parties to the manager/department, and answers or forwards these questions.
- Anticipate the needs of the team and proactively manage administrative tasks to optimize productivity and effectiveness.
- Monitor, coordinate and prioritize incoming requests, including confidential and sensitive emails and correspondence, ensuring timely responses and appropriate follow-up actions.
- Arrange international travel: flights, hotels, transfers and preparing itineraries.
- Plan and execute logistics for meetings, conferences, and special events, both onsite and offsite, including coordinating agendas, materials, and catering.
- Serve as a liaison between internal and external stakeholders, maintaining efficient and professional communication and confidentiality.
- Manage expense reports, invoices and other financial documents, ensuring compliance with company policies and procedures.
- Checking incoming invoices and, if necessary, arranging for corrections to invoices.
- Assist with special projects and initiatives as assigned, collaborating with cross-functional teams to drive results.

RequirementsÂ
We think you’ll be best geared for success if you meet the following requirements: Â
- Higher professional education level
- A minimum of 6 years’ experience working as an Executive Assistant supporting C-level or senior executives in a multinational corporation or similar high-pressure environment.
- High standards of personal integrity, respect for company standards and values.
- Strong focus on service and care, with a dedication to meeting the needs and expectations of key stakeholders.
- Excellent Dutch and English communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.
- Discretion and confidentiality in handling sensitive information and privileged communications.
- Adaptability and resilience in a fast-paced, ever-changing work environment.
- Excellent problem-solving skills and a proactive approach to addressing challenges and finding solutions.
- A real team player who demonstrates strong collaboration skills and provides support to colleagues when necessary.
- Ability to work independently and act proactively.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and other relevant software applications.
Aside from these hard skills, we think you should also bring some much-valued soft skills to the table: an entrepreneurial mindset, outspoken communication skills and a proactive approach and excellent organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously and meet tight deadlines.
