As Executive Assistant at Ahold Delhaize, your goal is to ensure efficient, effective and high quality secretarial and organizational support in a pro-active manner, to the Chief Sustainability Officer (CSO) who is a member of the Executive Committee (ExCo), in line with internal directives and to enable her to perform her job efficiently.

Your new work environment 
As Executive Assistant you will work primarily with and report to the CSO. You will be part of the Executive Department and work at the toplevel of our organization, supporting the primary decision-making bodies (Management Board, Executive Committee and Supervisory Board) of Ahold Delhaize. 
Main stakeholders involved are the members of the Management Board, Executive Committee, Supervisory Board, heads of Group functions, Regional and local functions, their assistants and associates, and external stakeholders. 
In addition to the day-to-day executive assistance, you’ll organize the logistics of the Leadership offsites of the Sustainability Leadership team (2-3 times a year). Which will include international travel and team logistics. You’ll partner closely with the CSO’s Chief of Staff to coordinate, prioritize and manage (day to day) productivity. 
Tasks are performed in a highly demanding and international environment which requires a full-time, professional, discrete, flexible, energetic and service-oriented assistant with excellent Dutch and English language skills, who is also a real team player. You will be based at Ahold Delhaize’s Headquarters in Zaandam.
 

Your role is diverse and encompasses various responsibilities. Here are the key ones: 

  • Manage complex calendars, scheduling internal and external meetings, appointments and travel arrangements across multiple time zones.
  • Organize and help manage and execute Leadership offsites and Community meetings. 
  • Anticipate the needs of the CSO and proactively manage administrative tasks to optimize productivity and effectiveness.
  • Monitor, coordinate and prioritize incoming requests, including confidential and sensitive emails and correspondence, ensuring timely responses and appropriate follow-up actions.
  • Arrange international travel: flights, hotels, transfers and preparing itineraries.
  • Plan and execute logistics for meetings, conferences, and special events, both onsite and offsite, including coordinating agendas, materials, and catering.
  • Serve as a liaison between internal and external stakeholders, maintaining efficient and professional communication and confidentiality.
  • Manage expense reports, invoices and other financial documents, ensuring compliance with company policies and procedures.
  • Approve on behalf of CSO, travel of direct reports, expenses, purchase orders, invoices, etc.
  • Assist with special projects and initiatives as assigned, collaborating with cross-functional teams to drive results.
  • Act as a gatekeeper, screening and prioritizing incoming calls, emails, inquiries and requests for the CSO’s attention.

We think you’ll be best geared for success if you meet the following requirements:  

  • A Bachelor's degree.
  • A minimum of 6-8 years experience working as an Executive Assistant supporting C-level or senior executives in a multinational corporation or similar high-pressure environment.
  • High standards of personal integrity, respect company standards and values.
  • Self-confidence and a sense of humour.
  • Strong focus on service and care, with a dedication to meeting the needs and expectations of key stakeholders.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously and meet tight deadlines.
  • Excellent Dutch and English communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.
  • Discretion and confidentiality in handling sensitive information and privileged communications.
  • Adaptability and resilience in a fast-paced, ever-changing work environment.
  • Excellent problem-solving skills and a proactive approach to addressing challenges and finding solutions;
  • A real team player who demonstrates strong collaboration skills and provides support to colleagues when necessary.
  • Ability to work independently and act proactively.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and other relevant software applications;
  • Ability to work fulltime, 40 hours per week and if needed flexibility to be available outside of regular office hours.
  • Affinity in the field of sustainability and a genuine commitment to make a positive impact on the environment and society is a plus.
